AXA XL, the P&C and specialty risk division of AXA, is known for solving complex risks. For mid-sized companies, multinationals and even some inspirational individuals we don't just provide re/insurance, we reinvent it.
We are currently seeking an Office & Workplace Coordinator with responsibility for managing the platform of AXA XL in the Benelux region, meaning the operational responsibility of the two offices in Amsterdam and Antwerp. The role is based in the main hub, Amsterdam. The coordination of Antwerp office will be in collaboration with AXA Belgium.

What will your essential responsibilities include?
Office management
·To be the first point of contact for colleagues regarding general office matters
·Manage contracts with procurement, partners and 3rd party suppliers
·Manage front desk tasks, mail and incoming enquiries, answering phone, liaise with cleaners and property manager
·Coordinate internal communication and local events like Health week, GDoG, Charity, Green committee
·Monitor and maintain office supplies (stationary, paper, office material etc.)
·Manage and supervise waste management and cleaning services
·To be the local Business Continuity Planning (BCP) coordinator
Physical security / Business Continuity Management
·Supervise, plan and maintain the AXA Group and AXA XL divisional Physical Security and Health & Safety requirements for the offices, policy implementation
·Ensure the local property meets the requirements, and manage associated reporting: PSS risk assessments, PSS plans, PSS compliance reviews, exercise reports
·Coordinate of first aid arrangements and responders & certification
·Manage Physical security and safety awareness training for new joiners
·To be responsible for contacts with Security providers, including management and internal distribution of smart keys, passcodes and building access codes
You will report to the Manager Financial Reporting & Accounting, Benelux region.

Required Skills and Abilities:
·Minimum education MBO Level 4. HBO or Bachelor Degree are a plus
·Moderate experience of similar tasks
·Knowledge or experience of business/finance or administration
·IT literacy, Microsoft Office package as a minimum
·Excellent communication skills (both written and verbal) in English and Dutch required
·Initiator with organizational and planning skills
·Accuracy, reliability and sense of urgency
·Self-motivated, professional and service orientated
