Role Description

In this role you are responsible for efficiently managing the President's calendar, coordinating events and meetings, handling communication with internal and external stakeholders, and ensuring adherence to company policies and procedures.

Additionally, the role involves managing expenses, handling supplier invoices, and providing ad-hoc support to the Leadership Team as needed.


Responsibilities

  • Efficient Calendar Management: Optimize the Ice Cream President's schedule by coordinating with various internal and external stakeholders to ensure smooth scheduling and adaptability to changes as necessary.
  • Event Coordination: Plan and organize conferences, workshops, and special events for the Ice Cream Executive Team, handling logistics such as venue booking, travel arrangements, and entertainment arrangements.

Team Meetings:

Assist the Ice Cream President in preparing for and following up on team meetings, ensuring that all necessary materials and information are readily available.


  • Professional Communication: Maintain effective communication with seniorlevel external contacts and organizations involved in the Ice Cream President's engagements.
  • Meeting Coordination: Manage all aspects of meetings held on relevant sites, including room bookings and catering arrangements.
  • Presentation Preparation: Create presentations as needed to support the Ice Cream President's activities and engagements.
  • Expense Management: Ensure timely completion and submission of expenses at the beginning of each month, following all approval processes and complying with Unilever's policies and procedures.
  • Adhoc Tasks and Support: Undertake miscellaneous tasks for the Leadership Team and help other department members when required.
  • Travel Organization: Arrange domestic and international travel, accommodation, and car rentals for the Ice Cream President.

Requirements:

- proven experience and a track record of high performance as a Personal Assistant, along with experience in a regional or global organization, showcasing your relevant accomplishments and skills is crucial.
- strong organizational skills to manage complex tasks effectively, prioritize them efficiently, and establish relationships with a diverse network of international stakeholders both within and outside the organization.
