    To provide secretarial and administrative assistance to the UK Senior Leadership team to ensure there is increased efficiency in use of their time as well as providing flexible cover within the Team Assistant pool.

    The Team Assistant to UK Senior Leadership has the following responsibilities:

  • Receives and screens incoming correspondence to the Team Assistant mailbox, reviewing and picking up allocations as assigned and/or notifying the most appropriate person to respond as appropriate
  • Primary focus on coordinating external client events, meetings and roadshows alongside any substantial roundtable engagements and internal meetings, inclusive of related meeting room bookings
  • Providing administrative support in liaising with Head Office and other parts of the group to organise meetings as appropriate; including coordinating agenda's and any visa assistance for Head Office visitors such as the Executive Board, Business & Product Heads and Functional leads
  • Greeting UK ExCo visitors to ensure that a positive and professional impression is given to all
  • Managing travel arrangements; booking flights and hotels
  • Processing and submitting of expenses, including preparing related forms and corresponding evidence
  • Providing diary management support for UK ExCo members
  • Assistance in onboarding of new staff
  • Answering telephone calls, referring on or responding to questions as appropriate (mainly from the centralised switchboard service provider Moneypenny)

  • Corporate and Institutional Banking which includes Corporate Banking, Clearing, Global Markets - Sales & Trading and Financial Institutions
  • Commercial Banking which includes Asset Based Finance and International Desk, which provides transactional banking services
  • Our business lines are supported by a number of functions such as Risk, Compliance, Legal, IT, Finance (Including Tax), Business Management and Human Resources. We currently employ approx. 380 people in the UK.

    Your profile


    • Experience of working as a Team Assistant in a corporate institution

    • Ability to communicate at all levels, whilst presenting a professional and efficient image of the office and support team

    • Ability to work unsupervised and on own initiative

    • Be a strong team player and to be pro-active in offering help to other members of the team

    • Excellent organisational and prioritisation skills

    • Proficiency with Microsoft Office products – Word, Excel, PowerPoint, Adobe PDF

    • Confident when navigating scheduling responsibilities, including advanced technical skills in Outlook to support this function

    • Good knowledge of English language, spelling etc.

    • Ability to interact with all levels of management, clients and staff in the UK office and internationally

    • Has absolute discretion and ability to work with confidential information

    • Self-motivated with a willingness to learn and contribute to the performance of the team.

    • Ability to prioritise and handle pressure and to know when to escalate items to appropriate level of management

    • Confident and presentable, with excellent communication skills both written and oral

    • Attention to detail is essential

    • Accuracy in typing and checking documents as required

    • Working knowledge of the technical expressions and concepts used in banking would be beneficial

    • To be flexible and open to new work and responsibilities
