Join us at Global Reporting Initiative ('GRI') to be part of a dynamic team making a significant impact on global sustainability reporting practices.


We are seeking an Office Assistant to join our Operations - People (HR) department to play a key role in supporting the daily administrative tasks ensuring the smooth operation of our Head Quarters office in Amsterdam.

You will be the liaison for our office location at Spaces Zuidas as well as support our colleagues outside the Netherlands with logistics for meeting room reservations at Spaces/Regus offices worldwide.

As the Office Assistant, you will also act as the certified Prevention Officer (in Dutch: Preventiemedewerker) and be a go-to person ensuring that GRI complies with all rules and regulations (e.g.

yearly RIE updates - Risk Inventory and Evaluation).

If you have already been trained in First Aid (in Dutch:
BHV/BedrijfsHulpVerlener), it is a big plus, however, we will provide the necessary training.


Responsibilities:


  • In charge of the daytoday smooth running of the HQ office. Hybrid working required to work mínimally 1 x per week from the office.
  • Arrange meetings and book meeting rooms in Spaces/Regus locations locally and worldwide.
  • Manage HQ office supplies and inventory.
  • In the capacity of the Prevention Officer:
  • train staff for emergency procedures and ergonomics on a regular basis.
- in charge of the yearly update of the Risk Inventory and Evaluation (RIE).
- trained as a First Aid Helper or at least willing to become one.

  • Handle Information flows in a timely, accurate, and professional manner. In charge of GRI's general mailbox and the physical mail arriving at the HQ office. Maintain electronic filing as required.
  • Other adhoc tasks as required, evolving in line with the needs of the business and the capabilities of the employee.

Job requirements:


Key Competencies / Requirements

  • Qualification in a relevant field such as business administration or relevant work experience in customer support, office management, or a similar role.
  • Customeroriented with strong problemsolving skills and the ability to adapt quickly.
  • Experience in working with deadlines and attention to detail.
  • Proactive, able to use common sense whilst seeking advice when needed.
  • Excellent written and verbal communication skills, including the ability to collaborate with diverse stakeholders internally and externally.
  • Ability to work in an international and multicultural setting.
  • Proficient in written and spoken Dutch (minimum C1 level).
  • Excellent command of written and spoken Engli
